1. Information We Collect
When you create a Kavi account, we collect your name and email address. As you use the app, we process the study materials you upload, including photos of notes and textbooks, audio recordings of lectures, and text you enter directly. We also collect usage data such as how often you study, which features you use, and your quiz performance to improve the learning experience. Basic device information including device type, operating system version, and app version is collected for troubleshooting and compatibility purposes.
2. How We Use Your Information
Your uploaded study materials are processed by our AI systems to generate structured study cards, flashcards, quizzes, and exam preparation materials. We use your data to provide personalized AI tutoring through the Ask AI and Ask Kavi features, tailoring responses to your specific study content. Usage patterns help us improve the service, optimize spaced repetition algorithms, and develop new features. We may send you notifications about study reminders, new features, or important account updates, though you can opt out of non-essential communications at any time.
3. Data Storage & Security
Your data is stored on Firebase, which is part of Google Cloud Platform, and benefits from Google's enterprise-grade security infrastructure. All data is encrypted in transit using TLS and encrypted at rest on Google's servers. We implement strict access controls to ensure that only authorized services can access your study materials and personal information. Our Cloud Functions process your content in isolated, stateless environments, and we regularly review our security practices to maintain the highest standards of data protection.
4. Third-Party Services
We use RevenueCat to process subscription payments securely through the Apple App Store and Google Play Store. Kavi does not directly handle your payment card information. OpenAI processes your uploaded content (photos, audio transcriptions, and text) to generate study materials. Importantly, OpenAI does not use your data to train its models when accessed through our API. We use Firebase Analytics to understand aggregate usage patterns and improve the app experience. These third-party services are bound by their own privacy policies and our data processing agreements with them.
5. Children's Privacy
Kavi is designed to be safe for students of all ages and is committed to compliance with the Children's Online Privacy Protection Act (COPPA). We do not knowingly collect personal information from children under the age of 13 without verifiable parental consent. If you are a parent or guardian and believe your child under 13 has provided personal information to Kavi without your consent, please contact us immediately at support@usekavi.com and we will promptly delete that information. Educators and schools using Kavi with students under 13 must obtain appropriate parental consent before creating accounts.
6. Your Rights
You have the right to access all personal data we hold about you, and you can request a copy at any time. You may correct any inaccurate information in your account profile directly through the app. You can request deletion of your account and all associated data, including uploaded study materials, generated cards, and usage history. We also support data portability, allowing you to export your study cards and content. You may opt out of marketing communications while continuing to receive essential account notifications.
7. Data Retention
We retain your personal data and study materials for as long as your account remains active. When you request account deletion, we remove your personal information, uploaded content, and generated study cards within 30 days. Some anonymized and aggregated data may be retained for analytics and service improvement purposes, but this data cannot be used to identify you. Backup copies may persist in our systems for a short period after deletion as part of our standard backup cycle, after which they are permanently removed.
8. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will notify you through the app or via email before the changes take effect. We encourage you to review this policy periodically to stay informed about how we protect your data. Your continued use of Kavi after any changes constitutes acceptance of the updated policy.
